Position Requirements:

Shipping Documentation:

o Preparation of shipping documents (invoices, packing list, delivery orders, export certificates, certificates of origin etc) with 100% accuracy for LC for negotiation and non-L/C shipments.

o All records must be completed and filed accordingly for future references.

o Proper maintenance of a good filing system for ease of retrieval.

Import :

o Ensure accuracy of information on Shipper’s AWB, BL, Invoice & p/List pertains to Description of goods, H/S codes, value & country of origin details stated correctly for customs declaration.

o Ensure Incoterm of delivery of shipment is executed correctly as in agreement with suppliers.

o Ensure goods are delivered correctly to warehouse as stated on AWB, B/L,invoice & P/List.

Export:

o Perform export screening on end user and release Hold if required.

o Co-ordinate with freight forwarders on shipment bookings and collection of goods.

o Co-ordinate with packing vendors for suitable packing & marking required for shipping.

o Co-ordinate with warehouse staff on release of shipment to freight forwarders.

o Prepare documents eg: Invoice, packing list, shipping Certs, Certs of Origins etc.

o Close order on ERP system.

o Comply and adhere to customer’s delivery term requirement and special packing instructions.

o Orders with Strategic Goods to apply for XO-permit (export license) from customs.

o Orders with L/C to communicate to forwarder for issue of correct documentation.

o Pre-alert customers on shipping/flight information.

o Retrieval of proof of delivery (POD) and submit to Finance.

Local Delivery :

o Perform export screening on end user & release Hold if required.

o Co-ordinate with warehouse & delivery team for delivery or collection of goods.

o Co-ordinate with packing vendors for suitable packing & marking if required by customer.

o Co-ordinate with warehouse staff for kitting & release to delivery team.

o Prepare system documents eg: Delivery Order / Packing List.

o Comply and deliver to the correct warehouse Receive designated by customer.

o Retrieval of proof of delivery (POD) and submit to Finance.

Drop Shipments:

o Liaise and co-ordinate with Planners to release ship orders from system

o Liaise with Planers for Proof Of Delivery of shipment.

o Perform export screening for end user

o Ensure Strategic Goods orders have authorized approval to ship.

o Prepare documents from system eg: Delivery Order / Packing List.

o Orders with Letter Of Credit request forwarder to issue correct documentation.

o Ensure complete L/C documents to submit to Finance for negotiations.

Country of Origin Documentations:

o Preparation of Draft for country of origin with Chamber of Commerce endorsement for required customers as per request by customers.

o Liaise with finance for cost statement in support of COO application.

o Arrange Cert Of Origin draft & supporting documents send to chambers for legalization.

o Complete COO documents mail to customer after approved by chamber authorities. o Preparation of other types of certificates of origin if required by customers.

Export Documents

o Ensure receipt of all shipping documents for export such as AWBs, B/Ls, invoices, packing lists, export subsidiary certificates, export permit under bulk permit for strategic controlled goods are provided by the freight forwarders.

o Archiving of completed orders (eg: order files, shipping documents for export such as AWBs, B/Ls, invoices, packing lists) for warehouse storage.

Others

o Assisting the logistics manager on other logistics matters or function if necessary.

o Archiving of close files and arrange for warehouse storage.

Preferences:

• Diploma in Logistics & Supply Chain or similar field.

• Minimum of 2 years of relevant experience managing shipping arrangements and working with freight forwarders and warehouses.

• Proficient in Microsoft Excel.

• Ability to handle high stress situations and be a team player.

• Excellent communication and able to communicate effectively across all levels.

Position Description:

This role will be primarily focused on managing all shipping matters including export shipments and sales order processing.
